VPSC Winter Invitational – Vancouver

Meet Dates: December 4–6, 2026 (Friday–Sunday)

MANDATORY TEAM TRAVEL EVENT – ALL SWIMMERS MUST TRAVEL WITH THE TEAM

Please review the important travel notes below regarding booking your own flights.

Host Club: Vancouver Pacific Swim Club

Pool: UBC Aquatic Centre, 6080 Student Union Blvd, Vancouver, BC

Swimmers Attending: Select Performance – please refer to the attached swimmer list. If you have any questions regarding eligibility or participation, please contact your coach directly.

Swimmers must confirm that they meet the qualification requirements before committing to this event, as accommodation cancellation policies are restrictive.

Travel Dates: December 3–7, 2026

Departure – Thursday, December 3, 2026

• Airline: WestJet – Flight WS105

• Route: Calgary (YYC) → Vancouver (YVR)

• Departure: 8:10 AM

• Arrival: 8:55 AM

Return – Sunday, December 6, 2026

• Airline: WestJet – Flight WS134

• Route: Vancouver (YVR) → Calgary (YYC)

• Departure: 10:20 PM

• Arrival: 12:50 AM on Monday, December 7, 2026

Meet times are subject to change by the host club.

Meet Information

Meet Entry Fees: $145 per swimmer 

Equipment: Swimmers must bring all Cascade team gear.

Qualification: Swimmers must qualify in at least one event. Bonus swims are permitted according to the meet package, with a maximum of three individual events per day.

Accommodations

Accommodations have been arranged based on availability at two UBC properties:

• Walter Gage Suites (Studio): Single occupancy (one swimmer per room).

• West Coast Suites: Double occupancy (two swimmers sharing a one-bedroom suite). Each suite includes one king bed in a separate bedroom and a pull-out sofa bed in the living area. Each swimmer will have their own sleeping space.

Both properties offer fully equipped kitchens and are within walking distance of the UBC Aquatic Centre.

Final room assignments, including sleeping arrangements within shared suites, will be determined by the coaches based on final confirmed swimmer numbers.

Important Travel Notes

1. Team Flights

We will automatically include your swimmer in the team flight booking unless otherwise indicated in the Declaration Notes.

If you are booking your own flights, you MUST indicate the following in the Declaration Notes:

"No flight required – booking own flights."

Swimmers booking their own flights are still required to participate in team travel arrangements while in Vancouver. Families may be responsible for airport transportation if their flight arrangements differ from the team's scheduled flights.

2. Chaperones

If you are interested in chaperoning this event, please email the Cascade Office.

A valid Police Information Check with Vulnerable Sector Search and Driver's Abstract are required.

Chaperone responsibilities include supervising swimmers and assisting with transportation when necessary. Swimmers will walk in groups between the pool and accommodations.

3. Meals

All meals are OYO (On Your Own) and are not included in the estimated travel costs.

Accommodations include full kitchen facilities, and food outlets are available on the UBC campus. Grocery arrangements and additional meal information will be communicated closer to departure.

By confirming your swimmer's attendance, you acknowledge and agree to a possible cost overrun of up to 20% of the estimated travel costs to cover unforeseen expenses.

Families must confirm their swimmer's attendance by this date to allow the club to finalize travel arrangements and avoid potential cancellation fees. Cancellations after this deadline may be subject to non-refundable travel costs.
